This notice explains how Clean Grid Pro handles personal data when you use Clean Grid Pro.

Who we are

Clean Grid Pro, United Kingdom, is the data controller for the personal data described here. Contact us at privacy@cleangridpro.com.

For the client, staff and site data you enter into your own workspace, you are the controller and we act as processor on your instructions.

Data we collect and why

  • Account data (name, email, login credentials, workspace and company details) — to create and administer your account. Legal basis: contract performance.
  • Workspace content (clients and contacts, estimates, inspections, proposals, agreements, invoices, checklists) — to provide the service you subscribed to. Legal basis: contract performance.
  • Signature records (signer name, title, signature image, timestamp and IP address) — to evidence acceptance of quotes and service agreements. Legal basis: contract performance and legitimate interests in enforceable records.
  • Timekeeping and location data (clock-in/out times and GPS coordinates captured by the person clocking in) — to evidence attendance on site. Legal basis: contract performance and your legitimate interests as employer; you are responsible for informing your staff.
  • Usage and device data (log records, IP address, browser/device identifiers, error reports) — for security, fraud prevention, troubleshooting and product improvement. Legal basis: legitimate interests.
  • Support and email data (messages you send us, delivery and bounce events for emails sent from the platform) — to provide support and keep sending reliable. Legal basis: legitimate interests.
  • Marketing data (email address for product updates) — only where you opt in. Legal basis: consent, withdrawable at any time.

Who we share data with

  • Hosting, database, authentication, storage and email delivery providers who run the platform for us.
  • Paddle, our Merchant of Record, for the sale of subscriptions, subscription management, payments, tax compliance and invoicing.
  • Professional advisers (legal, accounting) where needed.
  • Authorities or regulators where we are legally required to disclose.

We do not sell personal data.

International transfers

Our providers may process data outside the UK/EEA. Where that happens we rely on adequacy decisions or standard contractual clauses together with appropriate technical safeguards.

Retention

We keep account and workspace data for as long as your subscription is active and for up to 12 months after closure so you can reactivate or export it, unless you ask us to delete it sooner. Billing and tax records are kept for the period required by law. Log data is kept for a short operational period. After that, data is deleted or anonymised.

Your rights

Subject to applicable law you may request access, rectification, erasure, restriction, portability, object to processing based on legitimate interests, and withdraw consent. Email privacy@cleangridpro.com and we will respond within one month. You can also complain to your data protection supervisory authority (in the UK, the Information Commissioner's Office).

Security

We use appropriate technical and organisational measures, including encryption in transit, encrypted storage with our hosting provider, row-level access controls that separate each workspace's data, and role-based administrative access.

Cookies

We use essential cookies and local storage only — to keep you signed in, remember your language and currency preference, and secure the session. We do not use advertising cookies. You can clear or block cookies in your browser, though the workspace will not stay signed in without the essential ones.

Changes

We will update this notice as the service changes and will post the new version here with a revised date.
